INFORMATION PROTECTION
K-pop Suomi ry takes the protection of visitors’, volunteer workers’, program organizers’ and other interest groups’ data seriously. We aim to both fulfill data protection regulations as well as protect personal data in practice.

2. The registered

The registry document covers forms and user register in it, made by K-pop Suomi ry

3. Use and handling of personal data

The purpose of the register is to

- Find and coordinate volunteer work

- Find show organizers

- Coordinate event ticket reservations

Handling of personal data is based on the consent of the registered.

4. The handled personal data

The registry concerns the personal data, contact information and other necessary information of the persons who fill the form.

This data includes:

  • The whole name and preferred name of the registered persons

  • The date of birth of the registered persons

  • The residence of the registered persons

  • The e-mail address of the registered persons

  • The phone number of the registered persons

  • Identity information from electronic communication

In addition, it is possible to save the following data

  • The wishes and abilities of the registered persons regarding volunteering work, for example, working schedules

  • The official courses the registered persons have accomplished, for example, first aid course

Social security numbers are not handled.

5. Rules compliance source of information

Personal data is collected from the registered person.

On the basis of the compliance consent defined in the Personal data law’s 2nd chapter 8 § 1. moment’s first section.

6. The protection and data securing of personal data

Digitally handled personal data are protected and saved in the organization’s system to which access is limited to only the personel who need the data to accomplish their work tasks. These persons have usernames and passwords.

Personal data is protected against outside usage and member data usage is monitored.

7. The correct release and transfer of personal data

Personal data can be sent to other service providers to execute system. The partner of the registry holder who implements the technical maintenance of the registry can transfer personal data according to appropriate privacy protection legislation and this privacy statement.


If the function of the handling of the registered information is to find program arrangers, the following data can be defined public:

  • The name and description of the program number

  • Name that the organizer wishes

8. Personal data moving outside European union or European economic region

The organization can use service providers who reside outside of EU or European economic region in the handling of the personal data. The transfer of personal data outside of EU or the European economic region is always done based on one of the following, legal bases:

  • The European commission has decided that the receiving country in question has a sufficient level of data protection

  • The organization has made proper securing tasks for the transfer of personal data by using standard clauses of data protection approved by the European commission

  • In such case, the registered has a right to get a copy of the standard clause in question by contacting the organization in the way explained in the Contact-section

  • The registered has given their consent to transfer their personal data, or there is a legal reason for transfer their personal data

Access to the personal data will be granted only to the degree that is necessary to the fulfillment of services. The transfer of personal data outside of EU or the European economic region will always be grounded in existing legislation concerning personal data handling and will be carried out according to that legislation.

9. Keeping the personals data

The personal data will be held in the registry as long as stated in the form that the registered has filled. If there is no mention of a specific time, the information will be stored for one (1) year.

10. The rights of the registered

According to the data protection law the registered has always the right to:

  • Get information about the handling of their personal data

  • Get access to their own data and check their personal data handled by the organization

  • Require the fixing of inaccurate and false personal data as well as the supplementing of data

  • Require the deletion of personal data

  • Withdraw their consent and counter the handling of their personal data on the parts that the handling of their personal is based on the consent of the registered

  • Counter the handling of their personal data based on a personal specific situation for the parts that the reason for handling is the entitled benefit of the organization;

  • Get their personal data in a machine-readable form and transfer this data to another register holder as long as the registered themself has provided this data to the organization, the organization handles this data according to the consent of the registered and the handling will happen automatically.

  • Require that their personal data is handled to a limited extent

The registered will have to show the request to fulfill the forementioned right per the Contact-section in this privacy statement. The organization can ask the registered to specify their request in writing and to confirm the identity of the registered before handling the request. The organization can refuse to fulfill the request according to a reason set in law.

11. The right to complain to the supervising authority

All of the registered have the right to make a complaint to the relevant supervising authority or a supervising authority in an EU country where the registered resides or works if the registered sees that their personal data has not been handled in the according to the applied personal data protection legislation.
